# Building An HVAC Flat Rate Price Book Your Techs Will Actually Use

Structure, margins, photos, and maintenance — a practical guide to a price book that holds up in the field.

A flat rate price book replaces on-the-spot arithmetic with a decision the homeowner can understand. Done well, it protects margin, speeds up the visit, and makes every tech price the same repair the same way.

## Start from your real costs

Build each task from four inputs: labor hours, burdened labor rate, material cost, and target margin. If you do not know your burdened rate — wages plus taxes, insurance, vehicle, and overhead divided by billable hours — start there. Everything downstream is guesswork without it.

## Organize by the way techs work

Group tasks by system and by visit type, not by accounting category:

- Diagnostics and service call fees
- Cooling repairs by component
- Heating repairs by component
- Indoor air quality
- Equipment replacement and accessories
- Maintenance tasks and agreement add-ons

A tech in an attic in August should find the right task in two taps.

## Add photos to every line

Photos do two things: they help the tech pick the right part, and they help the homeowner understand what they are buying. A picture of a corroded contactor next to a clean one closes more work than a paragraph of explanation.

## Price in options, not in single numbers

Every repair over a threshold should be presented as good / better / best. The homeowner chooses a level of protection rather than deciding whether to say yes. Tie the best tier to a maintenance agreement and your renewal base grows on its own.

## Keep it current

- Review material costs quarterly; distributor pricing moves.
- Re-check labor times against actual technician clock data twice a year.
- Retire tasks nobody sells and add the ones techs keep entering as custom lines.
- Import and export in bulk so an update is an afternoon, not a project.

## Watch the custom line item rate

If more than one in ten line items is typed freehand, your book has a gap. Custom lines are your backlog of missing tasks — mine them monthly.

## Make it live where the work happens

A price book that only exists in the office is a document. A price book on the tech's phone, with photos, tied to estimates and invoices, is a pricing system. JobOpsPro includes a maintained flat rate price book with images, bulk import and export, and tiered estimates at $25 per user per month.
